We are seeking an experienced and proactive Executive Assistant to support our fast paced and changing environment. This role is to be an integral part of the senior management team, facilitating departmental operations, managing escalations, coordinating meetings, and providing administrative support to ensure smooth day-to-day operations. This is a full-time office-based role based in our Head Office in Borehamwood (North London).
Responsibilities
- Facilitate the Head of Departments
Run regular stand-ups, ensure briefing items and prepared accordingly
Know where the senior people are and who is designated “Lifeguard” for each team
Manage the Escalations queue and handling the Escalation lifecycle – from triage to resolution
Stand-up & Meeting Management
Schedule relevant people for stand-ups
Ensure any preparation is identified & completed ahead of meeting
If required, attend meeting to take notes, identify follow-up actions and ensure they are completed - Responsible senior point of contact for day-to-day issues
Assist with general office matters
For technical issues, take responsibility to see things through and ensure the right people are bought in & things are communicated clearly.
For cross-team issues (eg technical issue where billing team required), help connect teams or answer queries where possible - Admin/Secretarial Support for Directors
Inbox and Calendar Management
Help arrange “clinic” timeslots for directors/seniors to spend time in the office with the general team - Internal Project Management
Depending on project, possibly working alone, or with Project Manager
Keeping timelines & deliverables on track and holding stakeholders accountable
R&D – working with Project Manager to help manage tasks assigned and keep things moving - Vendor Relationship Management
Building relationships with key partner contacts
Being the ‘go-to’ person for when we have questions, major issues or Escalations
Help build internal knowledge around vendors, assisting with commercials as required
Requirements
Ideal applicants will be able to demonstrate excellent organisational skills:
- 5+ years of experience
- Excellent communication skills
- Discretion & confidentiality are a must
- Be proactive and a problem solver
- Be able to work quickly and multi-task where required
- Be fully proficient in Microsoft Office, strong Excel skills would be a bonus
- Be interested in technology and learning the business functions
- Experience working in a fast-paced business
- Experience in Project Management would be beneficial
